Personal Assistant to the Ambassador

Your role
As a member of a small and dynamic team, you will have to be self-driven and show initiative. We expect you to exhibit independent thinking and be a problem solver while at the same time enjoy being a part of a team and are ready to be flexible. You will work closely with all the staff at the Royal Danish Embassy and the Ambassador’s residence. The main tasks and responsibilities include, but are not limited to:
- All secretariat and receptionist functions, including calendar management.
- Handle invitations and other preparations for various events and functions, including events held by the Royal Danish Embassy.
- Make travel arrangements including visa formalities.
- Assist in preparation and logistics for visiting dignitaries and delegations.
- Handle office operations, including purchases.
- Draft letters and other official correspondence and prepare other material as required.
- Use and update contact database.
- Handle accounting and expense settlement.
- Contribute to other ad hoc administrative tasks.
Your profile
We are looking for an open minded, positive, flexible and enthusiastic team player with an eye for quality and efficiency in your daily work and with the capability to deliver tangible results. The ideal candidate will meet the following criteria:
- Preferred degree in a relevant field.
- Minimum five years of substantive experience in a relevant position, preferred from i.e. another diplomatic mission.
- Strong and well-documented competences in administration.
- Excellent communication skills and high proficiency in English and Bahasa.
- Self-driven, good interpersonal skills, result-oriented approach, and high drive to succeed in your own and the team’s projects.
- International and/or cross-cultural experience is a plus but not a requirement.
